RFS 2026 “Ride For Someone” – Terms & Conditions

These Terms & Conditions apply to all participants in the RFS 2026 “Ride For Someone” Charity Bike Ride (the Event), a 3-day cycling event in and around Bright, Victoria, supporting My Room Children’s Cancer Charity.

By registering for and/or participating in the Event, you agree to the following:

1. Event organiser


1.1 The Event is organised and managed by the Ride For Someone organising committee (Organiser).
1.2 The Organiser reserves the right to amend these Terms & Conditions at any time. Any updated version will apply from the time it is communicated to participants.



2. Eligibility & registration


2.1 All participants must complete the official registration process and provide accurate, current information.
2.2 Participants under 18 years of age must:
a) have the consent of a parent or legal guardian; and
b) be accompanied on the ride by a responsible adult rider, unless otherwise agreed in writing by the Organiser.
2.3 The Organiser may refuse or cancel a registration at their discretion (for example, if a participant is considered unsafe or unsuitable for the Event).



3. Fitness, health & medical


3.1 By registering, you confirm that you are physically fit and capable of completing a multi-day cycling event of approximately 300km over 3 days.
3.2 You are responsible for seeking medical advice before the Event if you have any medical condition, injury or concern that may affect your participation.
3.3 You must disclose any relevant medical conditions, allergies or special requirements requested on the registration form.
3.4 If you feel unwell at any time before or during the Event, you must notify the Organiser and follow any instructions given, which may include withdrawing from the Event.



4. Safety & conduct


4.1 All participants must:
a) obey all Victorian road rules and directions from police, traffic controllers and Event staff/volunteers;
b) wear an approved cycling helmet at all times while riding;
c) ride in a safe and predictable manner;
d) not ride under the influence of drugs or alcohol.
4.2 You agree to follow any safety briefings provided and to comply with all reasonable instructions from the Organiser, ride leaders and support crew.
4.3 The Organiser may remove any participant from the Event if, in their opinion, the participant’s behaviour is unsafe, disruptive or likely to cause harm to themselves, other participants, volunteers, or the public.



5. Equipment


5.1 You are responsible for providing a roadworthy bicycle and appropriate cycling gear (including helmet, lights, clothing and any other safety equipment).
5.2 You are responsible for the security of your own bike and belongings at all times. The Organiser is not responsible for any loss, theft or damage to personal property.



6. Fundraising


6.1 The Event is held in support of My Room Children’s Cancer Charity. Participants are encouraged to raise funds through approved fundraising channels.
6.2 You agree that any fundraising carried out in connection with the Event will:
a) comply with all relevant laws; and
b) clearly represent that funds are being raised in support of My Room Children’s Cancer Charity.
6.3 Any specific fundraising targets, procedures or online platforms will be communicated separately by the Organiser.



7. Fees, payments & cancellations


7.1 Registration fees (if applicable) are payable at the time of registration or by the due date specified by the Organiser.
7.2 Unless otherwise stated, registration fees are non-refundable, except where required by Australian consumer law.
7.3 If you choose to withdraw from the Event, you must notify the Organiser in writing as soon as possible.
7.4 The Organiser reserves the right to cancel or modify the Event (including dates, times, routes or distances) in case of:
a) severe weather;
b) safety concerns;
c) public health directions; or
d) any other circumstances beyond their reasonable control.
7.5 If the Event is cancelled, the Organiser will endeavour to notify participants as soon as reasonably practicable. Any decisions regarding refunds, credits or rescheduling will be communicated at that time.



8. Assumption of risk


8.1 You acknowledge that cycling, including on public roads and in varying weather and traffic conditions, involves inherent risks, including but not limited to: falls, collisions, road hazards, adverse weather, physical exertion, and other risks that may result in injury, illness, or property damage.
8.2 By participating in the Event, you voluntarily accept and assume all such risks, both known and unknown.



9. Limitation of liability


9.1 To the fullest extent permitted by law, the Organiser, its volunteers, sponsors, partners and representatives are not liable for any loss, damage, injury, claim or expense you may suffer in connection with the Event, except to the extent caused by their negligence.
9.2 Nothing in these Terms & Conditions excludes, restricts or modifies any right or remedy you may have under the Australian Consumer Law that cannot be excluded, restricted or modified.



10. Insurance


10.1 The Organiser may hold public liability insurance for the Event; however, this does not provide personal accident, income protection, health or property insurance for participants.
10.2 You are strongly encouraged to hold your own appropriate insurance (for example: private health insurance, ambulance cover, personal accident insurance and bicycle insurance).



11. Photography, video & media


11.1 The Event may be photographed and/or filmed by the Organiser or its representatives.
11.2 By participating in the Event, you consent to the use of your image, likeness and voice in photographs, video or other media for Event promotion, reporting and marketing, without payment or further consent.
11.3 If you do not wish your image to be used, you must notify the Organiser in writing prior to the Event. The Organiser will take reasonable steps to respect this request but cannot guarantee that you will not appear incidentally in group or background images.



12. Privacy & data


12.1 The Organiser will collect, use and store your personal information for the purposes of administering the Event, contacting you about Event details and safety, and reporting on fundraising outcomes.
12.2 Your details may be shared with My Room Children’s Cancer Charity and essential service providers (for example, timing, medical or support services) in connection with the Event.
12.3 Your information will not otherwise be disclosed to third parties without your consent, except where required by law.



13. Changes to route, schedule or format


13.1 The Organiser may make changes to the Event route, schedule, start/finish locations or format if reasonably necessary for safety, logistical or regulatory reasons.
13.2 Where practicable, any material changes will be communicated to participants prior to the Event or at the earliest reasonable opportunity.



14. Emergency & medical treatment


14.1 In the event of an accident, illness or emergency, you authorise the Organiser and its representatives to:
a) arrange for such medical assistance, treatment or transport as they consider reasonably necessary; and
b) share relevant personal or medical information with medical or emergency personnel.
14.2 You are responsible for any costs associated with medical treatment or ambulance transport (unless otherwise advised).



15. Acknowledgement & acceptance


By completing registration and/or taking part in the Event, you acknowledge that you have read, understood and agree to be bound by these Terms & Conditions.
